Event Assistant Internship offered at Sibikwa


Sibikwa is looking for an energetic, reliable and innovative Event Assistant Intern to help enhance our visibility in the local community.

Position Responsibilities
– Maintain the annual Events Calendar
– Create rehearsal and production schedules and timelines for performances and events
– Assist with answering telephones, filing and distributing paperwork, data entry, storeroom management, research, arranging meals and transport, and general office administration
– Communicate accurate information about productions to Sibikwa staff so they can effectively manage their responsibilities
– Establish and maintain relationships with a network of internal and external contacts including venues, artists, technical and creative service providers, and other suppliers and vendors
– Ensure artists, vendors and other event-related resources arrive at events on time
– Attend all staff, project and production planning meetings
– Attend all performances and events to assist with all event components from setting up to striking venues, and other assigned activities
– Work with venue coordinators to facilitate venue and event-related issues, overseeing the usability and condition of venues, reserving seats for special guests, checking the cleanliness of bathrooms, restoring the venue to original condition, and cleaning up reserved rooms
– Attend community functions to network and identify potential opportunities and support the creation of campaigns to capitalize on those opportunities
– Create summary reports of each event outlining how data gathered from current community events can be used to develop successful future events
– Any other duties which may occur to ensure the smooth running of Sibikwa

Required Behaviour, Knowledge and Skills
– Eagerness to learn and accept direction
– Proficient computer skills including word processing and spreadsheet software
– Excellent organizational, planning and time management skills
– Proficient English speaking and writing skills
– Excellent interpersonal communication skills, and demonstrated evidence of successful teamwork
– Ability to handle varying levels of multi]tasking and to adapt to rapidly changing environments
– Working knowledge of theatre, events, and/or production procedures and practices and eagerness to apply that knowledge in a wide range of venues

Required Qualification
– Events Management Certificate or Degree

Applicants need to have a matric as a minimum qualification, be between 18 and 34 years of age, and must be South African citizens from any of the designated ethnic groups.
